Information we collect

When you apply for membership, register for an event or send an enquiry, the website collects the details you enter, such as your name, email address, phone number, membership category and message. Membership applicants may choose to attach supporting documents. Event attendance and CPD credits may be recorded for members.

The website does not provide clinical care and does not ask visitors to submit patient medical records. Please do not include patient-identifying or other sensitive health information in an enquiry.

How we use it

RSPO uses submitted details to review membership applications, manage member accounts, respond to enquiries, administer events and maintain professional records. Supporting documents are available only to authorised RSPO administrators. Contact details may be used to follow up about the service you requested.

Directory information

Only practitioner records marked as verified by an RSPO administrator appear in the public directory. The Society publishes records after confirming professional credentials and permission to display the selected contact details. A person may ask RSPO to correct or remove directory information.

Storage & security

Website form submissions are stored in the RSPO website database. Uploaded membership documents, profile photos and member resources are stored in a private server folder. Profile photos are visible only to the account holder and authorised RSPO administrators; membership files are access-controlled. Documents and photos attached to published events or news are available to website visitors. The member portal uses a session cookie to maintain sign-in; the site does not use advertising cookies.

Notifications

The website sends transactional notices through RSPO's authenticated SMTP mailbox. Active member accounts and administrators receive an email when an event or news item is published. Administrator invitations include a one-time password setup link; sign-in codes are sent to each administrator's account email. If email delivery is unavailable, saved form submissions remain available to administrators in the website database; administrator sign-in requires working email delivery.

Questions, access or corrections

To ask about your information or request a correction, contact RSPO using the contact form. Please do not email passwords or sensitive supporting documents. RSPO can be contacted at info@rspo.rw.
